Tracer Health (“Tracer,” “we,” “us,” or “our”) provides practice-management software for med spas and aesthetic practices (“Practices”), including online booking, scheduling, payments, and client messaging. This Privacy Policy explains how we collect, use, and share information when you visit our website, book an appointment through a Practice’s Tracer-hosted booking page, or receive communications sent through our platform.

Information We Collect

Contact and booking information. When you book an appointment, we collect your name, phone number, email address, the services and appointment times you select, and any notes you choose to provide.
Payment information. If a Practice requires a card on file, your card details are collected and processed by our payment processor, Stripe. Tracer does not store full card numbers.
Messages. When you exchange text messages with a Practice through our platform, we process and store those messages so the Practice can view and respond to them.
Usage information. Standard technical data such as device type, browser, and pages visited, used to operate and improve the service.

How We Use Information

To schedule, confirm, and manage your appointments.
To send communications on behalf of your Practice, such as verification codes, appointment reminders, confirmations, account notifications, payment links, and — only if you separately opt in — promotional offers.
To process payments through our payment processor.
To provide customer support and improve our services.
To comply with legal obligations.

SMS Text Messaging

When you provide your phone number while booking through a Tracer-hosted booking page, you consent to receive appointment-related text messages (such as verification codes, reminders, confirmations, account notifications, and payment links) from the Practice you booked with, sent via Tracer. Promotional or marketing text messages are only sent if you separately opt in, and opting in to promotional messages is never a condition of booking or purchase. Message frequency varies. Message and data rates may apply.

You can opt out of text messages at any time by replying STOP to any message. Reply HELP for help, or contact us at hello@tracerapp.io.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with or sold to any third parties.

How We Share Information

We do not sell your personal information. We share information only with:

The Practice you book with, so it can provide your services and communicate with you.
Service providers that operate our platform on our behalf — such as payment processing, cloud hosting, and telecommunications delivery — solely to provide the service, and never for their own marketing purposes.
Legal authorities when required by law or to protect our rights and the safety of others.

Health Information

Practices may use Tracer to maintain records related to the services they provide you. Each Practice is responsible for its own treatment records and patient relationships; Tracer processes that information on the Practice’s behalf and safeguards it in accordance with applicable law, including, where applicable, HIPAA.

Data Security and Retention

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit and at rest. We retain information for as long as needed to provide the service to you and your Practice and as required by law.

Your Choices

Reply STOP to any text message to stop receiving texts.
Contact your Practice to access, correct, or delete your booking and treatment information.

Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the effective date above.
